Work Hours/ Shift/ Remote

The work schedule will be Monday to Friday during day shift only. No remote work available. Extended work weeks to include Saturdays and/or Sundays or holidays as requested or required based on business needs. May be required to travel to other locations as per business needs.

Job Summary

The Lead HR Compliance role is responsible for establishing governance and control over HR compliance and reporting across all entities within Cipla North America.

Focusing on the HR compliance aspect, the role encompasses ensuring adherence to various legal and regulatory requirements, including cross-border travel compliance, collaboration with employee representative bodies, and the establishment of new hiring entities.

The Lead HR Compliance will collaborate closely with key business stakeholders, the HR team, and both internal and external partners to seamlessly deliver the HR compliance agenda, aligning with the organization’s strategic goals and priorities.

Responsibilities/ Accountabilities

Manage the governance and control in the HR Compliance areas

  • Conduct compliance review and provide optimization advice for HR policies and practices as directed by the Chief Compliance Officer
  • As guided by the CCO, create HR compliance framework, risk mitigation mechanism, and promote implementation as well as monitor operations outcomes.
  • Be current on the dynamic labor regulatory landscape, evaluate risks if needed, and provide risk management suggestions for decision-making.
  • Provide cross-function compliance-related coordination, and support ad-hoc HR compliance matters.
  • Ensuring that the HRBP’s are well supported to deal with all compliance related matters and best practices are followed to ensure adherence to processes.
  • Stay current on Federal, State, and local laws that impact the company and/or employees.

 

Manage employee records

  • Create and manage the process to uphold employee records as required by law as well as internal processes
  • Manage the employee records for Cipla USA entities
  • Regularly check the accuracy/ update of various records

 

Manage Immigration matters

  • Manage company’s immigration matters as directed by Head HR/ Director HR
  • Partner with outside counsel on all aspects of company’s immigration case management. Ensure timely and accurate filings, advise employees and management on immigration related questions, oversee recruitment process, and ensure records and public inspection files are properly maintained.

 

Manage the global mobility process

  • Partner with Global Mobility teams to facilitate the immigration matter as per process.
  • Be the point of contact to the expats from the US HR team for various communications related to expatriation process
  • Update expat handbook to include any changes in policy, process or laws etc. and communicate to the concerned stakeholders
  • Manage the real-time report to track the expat cases in collaboration with global mobility teams, external attorneys and US HR and business teams

 

Manage Employee Relations process

  • Work across multiple business lines to conduct ER investigations in liaison with Chief Compliance Officer and HR leadership team in accordance with best practices, guidelines and key ER principles.
  • Works in partnership with HRPBs and Legal/ Compliance Department and relevant partners to lead thorough and objective investigations regarding complaints of harassment, discrimination, retaliation, misconduct and serious policy violations.
  • Serve as first point of contact for Cipla US HR team for managing and resolving ER related matters.
  • Analyse ER trends and recommend actions, solutions and strategies to address opportunities
  • Identify and implement digital tools and resources to support ER function and deployment of ER related data. This includes a platform for case management, utilization of data analytics/reporting, and trend analysis to support people related solutions and business objectives.
  • Lead special projects that positively impact our workforce, promote company values and enhance the employee experience.

 

Support Internal/ External Audits

  • Support the internal/ external audit requirements as and when required
  • Work with HRBPs and HR COEs to prepare Affirmative Action plans, EEO reporting, adverse impact analysis, a compilation of speciality census data for diversity efforts, and state compliance reporting etc. as required.
  • Ensure compilation and proper documentation of audit-related data in the required format.

 

Education Qualifications

Bachelor's degree (specialization in Human Resources preferred).

PHR or SHRM-CP preferred

Experience, Skills & Competencies

  • A minimum of 5 years of related HR Generalist and HR Compliance experience.
  • Strong knowledge and hands-on experience in the HR Compliance areas preferred.
  • OFCCP audit experience desirable.
  • Experience preparing Affirmative Action plans, EEO reporting, adverse impact etc. preferred.
  • Compilation of specialty census data for diversity efforts, and state compliance reporting preferred.
  • Possess problem-solving and analytical capability; experience in managing ambiguity and analysing HR metrics to find root causes and develop short, medium and long-term plans.
  • Current knowledge of employment law, compensation, benefits, employee relations, organizational design, & training and development.
  • Professionalism, accuracy, and timeliness are very important to this position, as well as being able to prioritize duties in a fast-paced environment.
  • A commitment to maintaining confidentiality and integrity.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
