Range: $103,000 - $136,000

 

Job Purpose: The Engineering & Projects Stores and Spares Coordinator is responsible for the end-to-end management of engineering, maintenance, and project-related materials in a GMP-regulated pharmaceutical manufacturing environment. The role ensures uninterrupted plant operations and effective project execution through strong inventory control, SAP system management, regulatory compliance, and cross- functional coordination, while maintaining high standards of data integrity, audit readiness, and EHS compliance.

 

 

Stores & Inventory Management

  • Manage engineering, maintenance, and project stores covering mechanical, electrical, instrumentation, utilities, HVAC, automation, and facility spares.
  • Ensure availability of critical and insurance spares to support uninterrupted production and utilities.
  • Define and maintain minimum, maximum, and reorder levels based on equipment criticality and consumption trends.
  • Classify spares into critical, fast-moving, slow-moving, non-moving, and obsolete categories.
  • Ensure GMP-compliant storage, labeling, binning, segregation, and housekeeping.
  • Conduct periodic cycle counts and annual physical inventory verification.

 

Procurement & Vendor Coordination

  • Coordinate with Engineering, Maintenance, Projects, and Purchase teams for material planning.
  • Support procurement using technical inputs, historical usage, and stock rationalization.
  • Coordinate with OEMs and approved vendors for specialized spares.
  • Track PR-to-PO-to-receipt lifecycle and ensure on-time delivery.
  • Verify incoming materials against quantity, specifications, drawings, and documentation.

 

SAP / ERP Operations

  • Perform all stores transactions in SAP MM and PM modules.
  • Create and track Purchase Requisitions and monitor Purchase Orders.
  • Execute Goods Receipt (MIGO), material issues, reservations, stock transfers, and scrap postings.
  • Maintain accurate material master data and storage locations.
  • Generate SAP inventory, consumption, critical spares, and aging reports.

 

GMP, Compliance & Documentation

  • Maintain engineering stores documentation in compliance with GMP and data integrity requirements.
  • Ensure traceability of spares used on critical equipment impacting product quality.
  • Comply with SOPs, Change Control, Deviations, and CAPA processes.
  • Support internal, customer, and regulatory audits such as USFDA, MHRA, and WHO.

 

Project Support

  • Coordinate materials for new equipment installation, expansions, and facility projects.
  • Ensure timely availability of materials during erection, commissioning, and qualification.
  • Track project materials separately and manage surplus inventory.
  • Support structured handover of project spares to maintenance.

 

Maintenance Support

  • Issue spares for breakdown, preventive, predictive, and condition-based maintenance.
  • Support shutdowns and turnarounds with advance readiness of materials.
  • Analyze consumption trends for reliability improvement and cost control.

 

EHS & Safety

  • Ensure safe storage and handling of oils, lubricants, chemicals, and heavy materials.
  • Follow EHS policies, PPE usage, and safe material handling practices.
  • Maintain orderly stores layout supporting safe access and movement.

 

Educational Qualification

Diploma or Degree in Mechanical, Electrical, Instrumentation, or Industrial Engineering. Certification in Materials Management, Inventory Control, or SAP MM is preferred.

 

Experience

5–10 years of experience in engineering stores and spares management within a GMP-regulated pharmaceutical manufacturing environment. Hands-on experience with SAP MM and PM modules is mandatory.

 

Key Skills & Competencies

SAP-based inventory management, GMP compliance, audit readiness, inventory optimization, documentation accuracy, analytical capability, and strong cross-functional communication.

 

Key Performance Indicators (KPIs)

Critical spares availability, SAP inventory accuracy, audit compliance, reduction of obsolete inventory, and on-time material availability for maintenance and projects.
